Privacy Policy

Your trust is at the heart of our work. This policy explains, in plain language, what we do with your personal information. It complies with Quebec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) and the federal Personal Information Protection and Electronic Documents Act (PIPEDA), which applies in Ontario in particular.

1. Who we are

Le Nord Financier is a consulting firm founded by Adjoua Laetitia Konan, a financial security advisor in Quebec and Ontario. In this policy, “we” means Le Nord Financier, and “you” means anyone who visits our website, writes to us or uses our services.

2. Person in charge of the protection of personal information

She ensures compliance with this policy and answers any question or request about your personal information.

3. Information we collect

We only collect the information needed for the purposes described in section 4:

• Through the contact form: your name, email, phone number (optional), the service you’re interested in and your message.
• When booking an appointment: your name, contact details and chosen time slot. Online booking is handled by Calendly (see section 6).
• During our meetings, with your consent: information needed to analyze your situation, such as your income, debts, coverage, goals, family situation and, for some insurance applications, health information. Health information is sensitive information and requires your express consent.
• To verify your identity, when required by law: for example, a piece of identification.
• Automatically, when you visit: our hosting provider records technical data (IP address, browser, pages visited) in its logs to keep the site secure and working properly.

4. Why we collect it

• To answer your questions and appointment requests.
• To analyze your situation and advise you on insurance, savings, investments and retirement.
• To prepare and submit, at your request, your insurance or investment applications.
• To follow up on your file over time.
• To meet our legal and regulatory obligations (record keeping, identity verification, anti-money laundering).
• To protect the security of our website.

We never sell your personal information, and we do not use it for targeted advertising.

5. Your consent

We collect your information with your free and informed consent, for specific purposes. When you use our form, you tick a box confirming your agreement. For sensitive information, such as health information, we ask for your express consent.

You may withdraw your consent at any time by writing to us, subject to legal obligations that require us to keep certain records. Withdrawing consent may, however, prevent us from providing some services.

6. Who we share it with

Your information is only shared with the people and organizations that need it, and only to the extent necessary:

• Insurers and financial institutions to which you ask us to submit an application, an enrolment or an account opening.
• Our service providers, bound by confidentiality commitments: website and email hosting (Hostinger) and online booking (Calendly).
• Regulatory or public authorities, when required by law.

7. Communication outside Quebec

Some of our service providers, such as Hostinger or Calendly, may process or store information outside Quebec or Canada. Before any such communication, we assess the privacy factors involved and ensure, by contract, that your information receives adequate protection. It may nevertheless be subject to the laws of those jurisdictions.

8. Retention

We keep your information only as long as needed for the purposes for which it was collected, or as long as required by the laws and regulations that apply to financial security advisors. Messages received through the form that do not lead to a business relationship are deleted no later than 12 months after our last exchange. At the end of the retention period, information is securely destroyed or anonymized.

9. Security

We take reasonable measures to protect your information against loss, theft and unauthorized access:

• encrypted connection (HTTPS) across the entire website;
• access to files limited to those who need it;
• strong passwords and two-factor authentication on our tools;
• regular security updates to the website and protection against automated submissions;
• secure destruction of documents that are no longer needed.

No method of transmission or storage is completely secure. For your most sensitive information, we recommend meeting in person or calling rather than using the form or email.

10. Cookies and site technologies

Our website uses no advertising cookies and no audience measurement tools, and does not track you across other websites. Only cookies strictly necessary for the site to work or stay secure may be set. Fonts are hosted on our own server.

When you click a link to an external website, such as Calendly to book an appointment, that website’s privacy policy applies. If we ever add an audience measurement tool, we will ask for your consent first and update this policy.

11. Your rights

At any time, you may:

• access the personal information we hold about you;
• request its correction if it is inaccurate, incomplete or ambiguous;
• withdraw your consent to its use or communication;
• request that it no longer be disseminated or that a hyperlink giving access to it be de-indexed, where the law allows;
• request that it be sent to you, or to another organization, in a structured, commonly used technological format;
• be informed when a decision based exclusively on automated processing concerns you. We make no such decisions.

To exercise these rights, write to the person in charge of the protection of personal information (section 2). We respond in writing within 30 days. We may ask you to confirm your identity before processing your request.

12. Confidentiality incidents

We keep a register of confidentiality incidents. If an incident presents a risk of serious injury, we promptly notify the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada, as applicable, as well as the people concerned, and we take the necessary steps to limit the harm.

13. Minors

Our services are intended for adults. We do not knowingly collect information about a person under 14 without the consent of their parent or guardian, for example in connection with an education savings plan or children’s insurance.

14. Changes to this policy

We may update this policy to reflect changes in our practices or in the law. The date of the last update appears at the top of the page. If there is a significant change, we will clearly indicate it on the website.
